Administrative Assistant II

Position Summary
We are looking for a multi-departmental administrative guru to join our team! If you have the ability to rule with a firm hand, maintain a positive attitude, and posses the passion to join the REACH organization, we want your help with the oversight of all our administrative needs! The ideal candidate will come to work with positive energy and the willingness and ability to communicate with multiple people and departments. Strong hard skills like time and project management will be instrumental in the success of this position, as well as softer skills like friendly communication and intellectual curiosity. As REACH grows, we need a rock star with a proven willingness to work collaboratively and take direction to help us continue expanding!

Duties and Responsibilities
? Responsible for office administration and coordination.
? Provides administrative support as assigned by various departments including, but not limited to, Human Resources, Marketing, Finance, Clinical Services and Aviation Services.
? Directly supervises reception position.
? Responds to internal customer requests in a courteous and professional manner.
? Performs general clerical duties including, but not limited to, filing, photocopying, faxing and mailing as required.
? Oversees supply order, including, but not limited to, office supplies, kitchen supplies, and business cards.
? Arranges for equipment and building maintenance at the direction of Facilities Manager,
? Assists with meeting preparation between departments and/or with outside parties, including planning logistics and meals.
? Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
? Performs other duties as assigned by supervisor.
? Coordinates backup support for all office administration including phones, special projects, other department assignments.
? Composes and types routine correspondence as required.
? Keeps apprised of HIPAA compliance requirements.
Other duties and responsibilities may be added, deleted, or changed at any time at the discretion of management either orally or in writing.

Qualifications
? Minimum of 3-5 years administrative experience; department or function-specific experience is preferred.
? Completion of business courses or equivalent preferred.
? Proficient in MS Office including Word, Excel, Outlook and PowerPoint.
? Ability to type at least 40 wpm.
? Ability to manage projects and set priorities for self and others.
? Excellent communication, teamwork and interpersonal skills.
? Strong reasoning, organizational and analytical skills; ability to gather appropriate data for decision-making.

Working Conditions and Physical Environment
Physical Requirements: While performing the duties of this job, the employee is frequently required to do the following:
? Involves moderate amount of sitting, speaking and listening; frequently using hands to key and input data and information.
? Requires close and distance visual capabilities.
? Capable of lifting 40 pounds floor to bench height.
? Coordinate multiple tasks simultaneously.
Work Environment: Entails exposure to the following environmental conditions: Constant exposure to moderate business office noise levels such as office machines, conversations, foot traffic; some (less than 1/3rd) exposure to moving mechanical parts, fumes, toxic chemicals, airborne particles, and risk of electrical shock.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
