99/hour ($73,028/year) plus a competitive total compensation package! This Human Services Administrative Assistant position is assigned to the Family, Youth, and Children (FYC) Division of the Human Services Department and is responsible for completing general clerical work, answering questions from employees and the public, and supporting the FYC division director, social workers, and other division staff.
Additional duties include:
Reviewing e-mails daily and alerting the division director of time sensitive requests Calendaring recurring meetings for staff and management Editing and updating the division telephone roster, staff organizational chart, and other documentation Answering FYC staff questions and directing them to the appropriate supervisor or manager Calendaring meeting requests from staff, community partners, and the division director Creating and sending e-mails to staff and community partners on behalf of management Working with FYC and other HSD managers to complete time sensitive tasks Taking minutes for staff and management during meetings Remediating board items for the Board of Supervisors in Legistar Coordinating travel arrangements for the division director and other staff and completing supporting documentation Preparing for monthly all-staff meetings Assisting with reception coverage when needed The ideal candidate will possess:
Experience supporting a high level manager The ability to work independently to prioritize and solve problems The demonstrated ability to handle matters proactively while attending to details and ensuring timely completion of projects Excellent communication and customer service skills The ability to work effectively with a wide variety of stakeholders and consumers Advanced proficiency with the Microsoft Office Suite The ability to de-escalate tense situations using a trauma-informed care approach A general understanding of technology to provide support to assistant directors (laptops, cell phones, tablets, etc.

Minimum Qualifications Education and
Experience:
Any combination of education, vocational training and work experience which provides the opportunity to acquire the knowledge and abilities listed.
Normally, formal coursework in secretarial skills and three or more years of general clerical work experience which includes working with personal computers will provide this opportunity.
Performance Skills:
The ability to type accurately at the rate of 45 words per minute is required.
License:
Possession of a valid driver's license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.
Knowledge, Skills, and Abilities Considerable knowledge of:
the organization, services, programs and functions of the agency in order to plan, evaluate, coordinate and perform clerical support and minor administrative functions; departmental and general clerical work practices from reference materials, procedures, guidelines, written formats, and timetables to schedule events; compile, consolidate and summarize information; authorize and/or submit claims, requisitions, payroll time reports; and answer a variety of information such as work progress, routings, application of procedures to specific situations, agendas, status of accounts, location of materials, and coordination of clerical support and administrative functions; English grammar, spelling, written format and punctuation; the functions, timetables, workload, and priority of the administrative and professional positions served; the procedures, work practices, format and routines associated with secretarial responsibilities to one or more commissions or boards if such work has been assigned.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
